The team operates around 50 sites in 32 states with a robust development pipeline. **About the role** Located in Houston, TX, Conifer Systems has been in business for over 15-years and is seeing unprecedented growth. Responsible for handling the office space; as well as maintaining relationships with office vendors, service providers and landlord. This position will report to the Inventory Manager. **Key accountabilities** + Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges conference calls. + Exercises considerable judgment and discretion in handling requests for appointments and telephone calls. + Reviews and responds to daily internal/external mail and overnight packages. + Prepares daily mail including but not limited to distributing incoming correspondence and ensuring outgoing mail has the correct postage, certification, or overnight requirements. + Proactively establishes, and maintains highly organized filing system; files correspondence and other records. + Coordinates calendar and schedules appointments, ensuring all parties are informed of and stayed ahead of schedule awareness. + Meets and greets visitors in a friendly and professional manner. + Completes expense reports for management; ensures that accurate account codes are used and required approvals are acquired. + Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities. + Purchases office supplies and equipment and maintains proper stock levels. + Leads contract and price negotiations as well as relationships with office vendors, service providers and landlord. + Participates actively in the planning and execution of office events. + Maintains a safe and secure working environment. + Assists with special projects as assigned. + Demonstrates a high level of integrity in taking care of confidential and critical issues. + Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing. + This is not a complete list of duties; may be required to perform additional duties deemed vital by management. **Essential education** + High School degree or equivalent. **Essential experience** + Excellent verbal and written communication skills. + Must possess various digital literacy and have strong solid understanding of Microsoft Word, Excel, PowerPoint, Outlook email system and Visio. + Keystroke a minimum of 50 wpm. + Professional appearance and demeanor + Versatility, flexibility, and a willingness to work within constantly evolving priorities with enthusiasm. + Acute attention to detail. + Dedication to excellence and high standards. + Ability to work on sophisticated projects with general direction and minimal mentorship. + Ability to deal effectively with a diversity of individuals at all interpersonal levels. + Good judgment with the ability to make timely and sound decisions + Creative, flexible, and innovative team player + Strong interpersonal, problem-solving, and analytical skills; able to lead priorities and workflow. + Ability to work independently and as a member of various teams and committees. + Proven ability to plan and coordinate projects. + Pre-employment drug test and background check required. **Why join us?** Delivering a better and more balanced energy system requires many different approaches and solutions. How much do we pay? $20-$22 per hour. *Note that the pay range listed for this position is a genuinely expected and reasonable estimate of the range of possible base compensation at the time of posting. This position offers paid vacation depending on your years of relevant industry experience and will range from 120 – 240 hours of vacation per year for full times employees (60 - 240 hours of vacation per year for part time employees). You will also be eligible for 9 paid holidays per year and 2 personal choice holidays.
