Administrative Assistant

OVERVIEW: 

The Administrative Assistant provides general office and project-related support including general administrative duties and human resources support.  This is an on-site position.

DUTIES AND RESPONSIBILITIES:

Manages incoming calls, mail, and emails Prepare flyers, documents, and letters Maintain the master calendar for the facility Prepare meeting minutes and statistics Maintain Corps files and records Maintains inventory of office supplies Process items and contracts for Divisional headquarters approval Oversee the recruitment for the Corps Assist in the pre-employment process for new hires Assist in the Live Scan process for all employees Update and maintain I-9 files Assign training and maintain complete and accurate records Ensure all required labor and legal posters are posted Other related duties as required  

EDUCATION AND EXPERIENCE:

High school graduate or equivalent (required) CA Driver’s license (required) Experience working as an administrative assistant (preferred) Experience with Microsoft programs

SKILLS AND ABILITIES:

Maintain confidentiality Excellent organizational skills Ability to communicate effectively and accurately Team player

PHYSICAL REQUIREMENTS:

Ability to lift up to 25 lbs. (Usually file boxes)
