Job Description

We are seeking a dedicated and detail-oriented Administrative Assistant to provide comprehensive support to our executives and the Camarillo Division Management Team. This role is crucial in facilitating communication between executives and staff members, managing information flows, and supporting executive decision-making processes. The position is a contract role covering maternity leave with the potential to become permanent based on performance.

ResponsibilitiesProvide administrative support to executives and the Camarillo Division Management Team.Facilitate communication between executives and other staff members.Create daily, weekly, and monthly reports summarizing key metrics, project statuses, and other relevant data.Follow up on action items and ensure timely completion.Track progress on ongoing projects and report updates to executives.Manage information flows in a timely and accurate manner.Manage executives’ calendars and set up meetings.Conduct research and gather information to support executive decision-making.Format information for internal and external communication, including memos, emails, presentations, and reports.Take minutes during meetings and distribute them to relevant personnel.File correspondence and other records using our CRM, DSS.Provide backup to the receptionist for daily breaks and lunch.Oversee office supplies and inventory, ensuring necessary resources are available.Essential SkillsData entryProficiency in Microsoft Office, including Excel and OutlookClerical skillsAdministrative support experienceCalendar managementStrong communication skillsAdditional Skills & QualificationsBachelor's DegreeExperience with scanning and data managementWork Environment

This position is based in an office environment with strict adherence to the shift schedule of Monday to Friday, 7:00 AM to 4:00 PM.

Pay and Benefits

The pay range for this position is $28.00 - $30.00
