Department:Department of GovernmentPre-Employment Screening:Credit, Criminal, IdentityJob Function:General Administration Position Description: Faculty Support Provide administrative support to a large portfolio of faculty committees and light general support to ladder faculty. Manage complex calendars in support of faculty committee work using various calendar platforms. Schedule and set up meetings, reserve rooms, handles all meeting logistics, and takes notes if needed. Conduct library or online research and prepare reports or other materials as needed. Compose and edits letters, answers correspondence, proofread/edit documents, retrieve research resources, and support publishing-related endeavors. Communicate professionally with internal and external stakeholders on behalf of faculty and administrative leaders, assist faculty committees on work related to a wide range of academic processes. Executive Support Provide a wide range of high-level administrative support to department leadership, primarily the Department Chair, and secondarily the Director of Administration, with the utmost discretion when handling confidential information. Manage the daily and long-range calendars, including scheduling meetings, coordinating meeting logistics, preparing agendas, and documenting/driving follow-up activities and deliverables. Draft and edit email, meeting notes, memoranda, a variety of letters, and other general correspondence. Develop electronic systems and workflows for scheduling, task management, and other administrative tasks. General Administration and Ad-hoc Project Support Provide excellent customer service and assistance on administrative and/or financial procedures to faculty and administrative leaders. Provides logistical support that includes scheduling, room reservations, A/V set up/breakdown, material preparation, etc for a wide range of meetings, including faculty-led meetings. Manage calendars accordingly. Update and create documentation for business processes as requested/needed. Provide Reimbursement/Corporate card support, which involves collecting receipts, business purposes, and submitting reports on behalf of cardholders/reimbursees. Provides course support on Canvas, assists with letters of recommendation, and sponsored research support. Work on ad-hoc projects, as assigned by the DAO, during the academic year but primarily from late spring through late summer. Move projects forward and continually looks for ways to leverage faculty and leadership’s time. The Administrative Assistant will support a large portfolio of faculty committees, the Department Chair, and the DAO. The position collaborates as needed with others in the Administrative Operations, Student Services, Academic Administration, and Finance teams. The Administrative Assistant actively engages internal and external individuals and offices with a sense of diligence and discretion; it anticipates and resolves problems, provides updates on the status of projects as needed, and coordinates multiple and at times competing calendars and priorities.
