**Job Summary and Qualifications**
Under the direct supervision of the Division Office Manager, this position provides administrative and secretarial support for service line vice presidents and the department. In addition to the general responsibilities of an administrative assistant, this position also requires front desk responsibilities. This includes greeting visitors, answering phones, handling inquiries, and directing incoming calls or visitors to the appropriate person. Independent judgment is required to plan, prioritize, and organize a diversified workload.
**What you will do in this role:**
+ Manages calendars, schedule meetings, and coordinates appointments for Vice Presidents.
+ Schedules and organizes complex activities such as meetings, travel, conferences and reimbursement reports.
+ Maintains contact lists for the Vice Presidents.
+ Organizes and prioritizes large volumes of information and calls. Responds to regularly recurring requests for information.
+ Sorts and distributes mail for all department members.
+ Answers phones for the Vice President and the department. Takes messages or fields/answers routine or non-routine questions. Works in cooperation with other Executive Assistants to cover phones.
+ Acts as a liaison with other departments, facilities and outside agencies, including high-level staff such as CEOs, COOs, CMOs, CFOs, CNOs, etc.
+ Handles confidential information and non-routine information and explains departmental policies when necessary.
+ Works independently and within the team on special nonrecurring and ongoing projects.
+ Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. as requested by the Vice President or other department members. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
+ Orders supplies for the department as needed, ensuring adequate stock levels.
+ Provides general administrative support to the department as required.
+ Work schedule: in-office, Monday through Friday from 8am to 5pm, 1 hour for lunch.
+ Other duties as assigned.
**What qualifications you will need:**
+ 3-7 years of related experience
+ Proven experience as an administrative assistant or in a similar role.
+ Discretion and confidentiality in handling sensitive information.
+ Strong organizational and time management abilities.
+ Position continually requires poise, tact and diplomacy.
+ Work requires attention to detail in composing, typing and proofing materials.
+ Ability to prioritize tasks effectively in order to meet deadlines.
+ Must have strong working knowledge of Microsoft Office (Word, Outlook Calendar, Excel, OneNote, Power Point, etc.)
+ Excellent communication and interpersonal skills.
+ Business attire.
+ Bachelor's degree preferred
