Our Client, an Energy Services company, is looking for an Administrative Assistant II for their Jackson, MI location. Responsibilities:
+ A highly organized and adaptable Administrative Assistant to support three executive directors within our organization.
+ Calendar Management: Efficiently manage and coordinate the executives' calendars, ensuring all appointments, meetings, and events are scheduled and updated.
+ Meeting Coordination: Schedule and organize meetings, including preparing agendas, taking detailed notes, and distributing minutes.
+ Meeting preparation: Ensure that all materials are available prior to key meetings and help with week-ahead preparation.
+ Expense Reports: Prepare and submit expense reports for the executives, ensuring accuracy and timely processing.
+ Event Coordination: Plan and coordinate team events, including logistics, catering, and communication with attendees.
+ Collaboration: Partner with other executive assistants within the P&C function to ensure seamless support and coordination across the team.
+ Adaptability: Embrace change and demonstrate agility in responding to shifting priorities and demands.
Requirements:
+ Proficiency in Microsoft Outlook, Excel, and Teams.
+ Proficient in Microsoft Outlook, Excel, and Teams, and will excel in a dynamic, fast-paced environment.
+ Adept at adjusting priorities and keeping up with shifting demands.
+ Requires exceptional multitasking abilities, strong communication skills, and a proactive approach to problem-solving.
+ Strong attention to detail and management across three different clients
+ Strong organizational and time management skills.
+ Excellent written and verbal communication abilities.
+ Ability to handle sensitive information with discretion.
+ Proven experience in a similar role supporting senior executives.
+ High level of adaptability and agility in a fast-paced environment.
+ Experience in the HR function or related field.
+ Bachelor's degree in Business Administration or a related discipline
+ Excellent verbal and written communication skills
