Job Title: Administrative Assistant
Position Type: Direct Hire
Location: Minneapolis, MN (Hybrid after initial 90 days)
Hours: Monday - Friday, 7:30 AM - 4:00 PM (flexibility required for 6:30 AM start on select days)
Salary: $25 - $29 per hour (depending on expereince)
Position Summary:
The Administrative Assistant will provide comprehensive administrative support across multiple locations, ensuring smooth coordination between staff, management, and hospital administration. This position demands a high level of professionalism, initiative, and attention to detail, as well as the ability to handle a variety of responsibilities ranging from calendar management to event coordination. The ideal candidate is someone who is highly organized, proactive, and able to communicate effectively with individuals at all levels within the organization. The role is high-impact and requires the ability to work independently while also contributing to a collaborative team environment. Ideal candidates will have medical industry experience.
Primary Responsibilities:
Manage complex calendars, schedule meetings across multiple sites, and coordinate resources such as conference rooms and AV equipment.Prepare agendas, take minutes, and track attendance for meetings.Provide data entry and maintain trackers to ensure team projects stay on task and meet deadlines.Assist with event coordination, including scheduling, AV setup, and catering orders, while ensuring effective communication and timely follow-up.Support leadership by preparing presentations using PowerPoint and Adobe.Perform office tasks such as photocopying, filing, report preparation, and document distribution.Ensure office safety by adhering to company guidelines and policies.Maintain confidentiality and data privacy in all tasks.Secondary Responsibilities:
Complete miscellaneous tasks and special projects as requested by management or department leads.Occasional travel between locations may be required.Availability during non-business hours, evenings, or weekends as needed to meet deadlines.Qualifications:
High school diploma required; college degree or equivalent education preferred.4+ years of administrative assistant experience preferred.Proficiency in Microsoft Office (Word, Excel, Outlook) and other office equipment.Strong organizational, time management, and problem-solving skills.Ability to prioritize and manage multiple tasks in a fast-paced environment.Exceptional interpersonal skills, with a focus on customer service and professionalism.Ability to handle sensitive and confidential information with discretion.Experience supporting teams and managing projects across multiple departments.Prior experience in healthcare or hospital settings is a plus, but not required.Physical Requirements:
Ability to lift up to 30 pounds and regularly carry objects weighing up to 20 pounds.Must be able to sit at a desk for extended periods and perform tasks using a computer.Must be able to stand, walk, and move around the organization as needed.Good manual dexterity and visual acuity required for keyboarding and document review.Additional Information:
