Description
We are in search of an Administrative Assistant to join our team based in HIRAM, Ohio, United States. As an Administrative Assistant, you will be a pivotal part of our operations, managing front office activities, ensuring smooth communication, and providing a welcoming environment for our guests. This role offers a long-term contract employment opportunity and is integral to our day-to-day functions.
Responsibilities
• Oversee front office operations, managing phone and email communications to ensure a positive experience for office guests
• Handle all in-house mailings
• Administer all in-house appeals, maintaining spreadsheets, managing mail lists, editing letters, and merging documents
• Regularly interact with senior leadership of the organization, major donors, and trustees, using discretion and good judgment in all communications
• Coordinate logistics for donor and prospect meetings, using discretion and good judgment in all written and oral communications
• Support department boards by reserving facilities, arranging necessary services, managing events, and preparing information for board members
• Plan logistics for individual donor/prospect and trustee site visits and events, attending events as needed
• Prepare expense-related forms, purchase orders, payment requisitions, and reconcile credit card statements
• Order office supplies for the department and assist with donor management tasks and prospect list maintenance.
Requirements • Proficiency in answering inbound calls and managing both inbound and outbound calls.
• Exceptional customer service skills.
• Experience with data entry tasks.
• Ability to handle email correspondence efficiently.
• Proficiency in Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word.
• Demonstrated ability to schedule appointments.
• Experience in coordinating meetings, including annual meetings, and taking accurate meeting minutes.
• Strong skills in event planning and management.
• Experience in arranging travel and coordinating travel arrangements.
• Knowledgeable in preparing and handling expense reports.
• Ability to order office supplies when necessary.
