Administrative Assistant
Description We are offering a long-term contract employment opportunity for an Administrative Assistant, located in Orangevale, California. As an Administrative Assistant, you will be tasked with providing essential administrative support to our team, ensuring efficient communication and organization within the workplace. Responsibilities: • Efficiently process and handle orders. • Direct and handle incoming phone calls with professionalism. • Distribute incoming mail and coordinate outgoing customer service mail. • Maintain regular communication with both internal staff and external suppliers. • Promptly fulfill requests for labels and manage changes related to phytosanitary certificates. • Utilize office tools including Word, Excel, and Outlook to maintain records and manage data. • Provide additional administrative support as necessary. Requirements • Experience in answering inbound calls, demonstrating excellent communication skills and detail orientation is required. • Proven track record in providing exceptional customer service, with the ability to handle queries and resolve issues in a timely manner. • Ability to perform accurate data entry tasks, with keen attention to detail and commitment to maintaining high-quality records. • Skilled in managing email correspondence, ensuring clear and effective communication with clients and team members. • Experience in managing both inbound and outbound calls, showcasing strong multitasking skills and ability to prioritize tasks. • Proficiency in Microsoft Excel, with the ability to create spreadsheets, charts, and use advanced functions. • Familiarity with Microsoft Outlook, demonstrating ability to manage email, calendar, contacts, and tasks effectively is required. • Experience with Microsoft PowerPoint, with the ability to create, edit, and present detail-oriented presentations. • Proficiency in Microsoft Word, showcasing skills in document creation, editing, and formatting. • Experience in scheduling appointments, demonstrating strong organizational skills and ability to manage multiple calendars is required.
