Description
We are offering a contract employment opportunity for an Administrative Assistant located in San Marcos, Texas. The role involves a variety of administrative tasks, including managing customer inquiries, ensuring the smooth operation of office functions, and maintaining accurate records. This position is key to ensuring efficient office operations in our industry.
Responsibilities:
• Operate and manage common office equipment such as computers, scanners, printers, etc.
• Handle and direct visitor inquiries, guiding them to the appropriate person.
• Manage and coordinate the distribution and retrieval of mail, as well as scheduling deliveries.
• Oversee the maintenance of office and breakroom supplies, including regular inventory checks and placing orders.
• Coordinate various office support services, including facilities management.
• Prepare and distribute office communications, such as memos, emails, and other correspondence.
• Analyze and interpret data and reports, identifying and correcting any deficiencies or errors.
• Transfer data from hard copy to a digital database accurately and efficiently.
• Ensure the accurate and efficient management, tracking, and processing of documents.
• Maintain both electronic and physical filing systems to ensure easy accessibility of documents.
• Conduct research and retrieval of existing data as required.
• Provide administrative support across various departments as needed.
• Handle additional duties as assigned, ensuring the smooth operation of the office.
Requirements
• Demonstrated expertise in answering inbound calls
• Proven experience in delivering exceptional customer service
• Proficiency in data entry tasks
• Excellent skills in email correspondence
• Experience in handling both inbound and outbound calls
• Proficiency in Microsoft Excel
• Proficient in using Microsoft Outlook
• Experience in using Microsoft PowerPoint
• Proficiency in Microsoft Word
• Proven ability to schedule appointments efficiently
