Administrative Assistant

Job Overview:

The Administrative Assistant plays a crucial role in providing comprehensive administrative support across multiple divisions. This includes handling a wide range of tasks such as coordinating meetings and events, managing records, and assisting with both client and associate relations efforts. Working closely with regional and senior leadership, this role ensures the efficient flow of operations and the timely execution of key services, fostering a productive and collaborative work environment.

 

Compensation: $19-$21 per hour

FirstService Residential will compensate the successful candidate per the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

 

Your Responsibilities:

Reviewing and processing requests, ensuring timely submission for leadership approval. Preparing and submitting expense reports and other financial documentation. Maintaining up-to-date contact lists, distribution groups, and internal directories. Organizing and managing files and documents related to departmental meetings and activities. Scheduling meetings and coordinating logistics, including set-up and clean-up as required. Developing forms, spreadsheets, and other tools to help organize and present data. Ordering food, supplies, and materials for meetings, including handling setup and cleanup. Coordinating travel arrangements, including flights, hotel accommodations, and transportation for team members. Ordering flowers, gifts, or other tokens of appreciation for associates, leaders, and board members. Keeping leadership calendars updated, including scheduling and reminders for important events such as board meetings. Managing office supplies and equipment, including overseeing inventory and placing orders when needed. Supporting large company events by serving on committees and providing administrative assistance. Assisting with various ad hoc projects or tasks as requested by leadership. Performing other duties as assigned to support the overall function of the organization.

 

Skills and Qualifications:

Good written and verbal communication skills. Adhere to required deadlines. Foster cooperation and work well within a team atmosphere. Complete company training as assigned. Be punctual in work and meetings and track time as required by company standards. Excellent attendance is mandatory. Maintain an organized workspace according to company procedures. Exhibit professionalism, professional attire, and demeanor at all times. Adhere to the company’s Standards of Operation. Attend all mandatory company functions. Maintain reliable transportation. Demonstrates effective communication skills consisting of oral, written, and listening skills. Demonstrates excellent problem-solving abilities. Excellent time management abilities. Ability to draft correspondence and respond to inquiries effectively and independently. Must be proficient with computer programs including Microsoft Teams, Outlook, Word, Excel, and PowerPoint. Demonstrates organizational skills and ability to independently prioritize daily workload. Must have a minimum typing speed of 50 WPM. Experience with Connect, Avid, and Concur preferred. Notary Public certification preferred.

 

 

Work Location: Las Vegas, NV

 

Work Hours: Monday to Friday 8am-4:30pm
