Position Summary
The Administrative Assistant position is critical for achieving leverage of the advisor’s time. This position supports daily operations of the practice including responding to client service requests, completing post meeting work, maintaining client information and confidentiality, and other administrative tasks as assigned. The Administrative Assistant reports to and is employed by Focus Financial Group.
Compensation for this position is $20-$24/hr. dependent upon experience. Benefits include Simple IRA with match, PTO, 7 Major Holidays. This role has an immediate growth track to the Client Services Administrator (Licensed) role with the expectation that incumbent completes training and testing to receive Life and Health and FINRA SIE/7/66 licensing in the first six months.
Job Description
Position Roles/Responsibilities/Accountabilities
+ Drive client facing activity in the practice by scheduling meetings with clients and prospective clients.
+ Prepare correspondence, reports, and coordinate special projects
+ Oversee projects, administration of various programs, and processing functions as needed
+ Drive client facing activity in the practice by scheduling meetings with clients
+ Update database management systems with client contact and preference information
+ Assist advisors and associates with preparation and follow up for client meetings
+ Attend client meetings and take notes to ensure next steps, follow up tasks and meeting notes are properly documented.
+ Research products, product pricing and contacting carriers for information
+ Answer basic questions for clients
+ Prepare necessary forms via DocuSign, GST or Thrivent Forms System for opening or maintaining accounts, including money movement and complete applications to the point of signature for advisors to finalize and approve
+ Other responsibilities as assigned by the advisors and associates.
Position Qualifications
+ Securities or insurance industry experience preferred
+ Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn
+ Ability to prioritize multiple tasks and maintain a high quality of work while experiencing frequent interruptions
+ Ability to maintain integrity of sensitive/confidential information
