Administrative Assistant
Description The Administrative Assistant plays a vital role in supporting the smooth operation of a real estate company by providing clerical and administrative assistance to agents, brokers, and management. This position requires a strong attention to detail, excellent organizational skills, and the ability to juggle multiple tasks in a fast-paced environment. The Administrative Assistant is responsible for maintaining property listings, coordinating with clients and stakeholders, preparing transaction paperwork, and assisting with marketing and office operations. Key Responsibilities + General Office Administration: Support day-to-day office operations by managing calendars, scheduling appointments, and maintaining office supplies (Source: RH Acronym Guide.docx). + Property Listings Management: Upload new property listings, update existing listings, and ensure information is accurate on real estate platforms and websites. + Transaction Support: Assist in preparing, reviewing, and organizing real estate transaction documents such as purchase agreements, leases, disclosures, and closing paperwork. + Client Relations: Communicate with buyers, sellers, agents, and vendors to coordinate showings, inspections, and other transactional activities, ensuring excellent customer service. + File Management: Maintain and organize digital and physical databases for property listings, client records, and marketing materials. + Marketing Assistance: Support creation and distribution of marketing materials such as flyers, social media posts, email campaigns, virtual tours, and open house promotions. + Vendor Coordination: Liaise with third-party service providers, including home inspectors, photographers, and staging companies, to schedule services. + Ensure Compliance: Ensure all documentation and practices comply with local real estate laws and regulations. + Ad Hoc Tasks: Provide additional administrative support for projects or events as directed by management. Requirements Required Skills and Competencies + Proficiency in Software: Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook). Experience with Customer Relationship Management (CRM) platforms and Multiple Listing Services (MLS) systems (Source: RH Acronym Guide.docx). + Excellent Communication: Strong written and verbal communication skills to interact with real estate professionals and clients professionally. + Organizational Skills: Ability to manage multiple tasks with a high level of accuracy and attention to deadlines. + Problem-Solving Ability: Quick decision-making skills to proactively address challenges. + Adaptability and Multitasking: Comfortable working in a fast-paced environment with frequently shifting priorities. + Familiarity with real estate terminology and processes is a strong plus. Preferred Qualifications + Education: High school diploma required; Associate or Bachelor's degree in Business Administration or a related field is preferred. + Certification: Administrative Professional Certificates (e.g., CAP) or relevant real estate certifications are desirable. + Experience: A minimum of 2 years of administrative or office support experience, preferably in the real estate industry.
