Description
The Administrative Assistant is a highly organized and detail-oriented professional responsible for providing comprehensive administrative and operational support within a healthcare organization. This role plays a critical part in ensuring the efficiency and smooth daily operations of the healthcare team by managing clerical tasks, facilitating communication between departments, maintaining patient records, and enhancing overall office productivity. The ideal candidate will possess a strong ability to prioritize tasks, meet deadlines, and maintain confidentiality, particularly when handling sensitive patient information in compliance with healthcare regulations such as HIPAA. Key Responsibilities
+ General Administrative Support: Assist healthcare staff with scheduling appointments, managing calendars, and coordinating meetings (Source: SG25 US Administrative and Customer Support.docx).
+ Patient Communication: Greet patients upon arrival, answer calls, respond to inquiries, and provide superior customer service to ensure patient satisfaction.
+ Data Entry: Maintain and update patient records, including medical histories, insurance details, and follow-up information, ensuring accuracy and compliance.
+ Document Management: Prepare, organize, and distribute memos, policies, presentations, or letters for internal and external communication (Source: SG25 US Administrative and Customer Support.docx).
+ Billing and Insurance Coordination: Assist in processing billing, verifying insurance information, and coordinating with financial departments.
+ Compliance Adherence: Ensure all administrative practices align with healthcare standards and privacy regulations (e.g., HIPAA).
+ Supply Management: Order office supplies, manage inventory levels, and coordinate with vendors or external contractors to maintain a functional workspace.
+ Collaboration and Support: Work closely with clinical staff to streamline workflows and bridge the gap between administrative and healthcare functions.
Requirements
Required Skills and Competencies
+ Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and related tools (Source: SG25 US Administrative and Customer Support.docx).
+ Familiarity with Electronic Medical Records (EMR) and/or CRM systems preferred (Source: SG25 US Administrative and Customer Support.docx).
+ Strong organizational and time management skills to handle multiple priorities effectively.
+ Outstanding interpersonal and communication skills to interact professionally with patients, healthcare staff, and other stakeholders.
+ Problem-solving ability with a focus on adaptability in a fast-paced healthcare environment.
+ Understanding of healthcare-specific regulations, including HIPAA compliance.
Preferred Qualifications
+ Education: Associate or Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
+ Certification: Recognized certifications like Certified Administrative Professional (CAP) or experience with advanced tools such as ERP software and CRM systems are a plus (Source: SG25 US Administrative and Customer Support.docx).
+ Experience: At least 2 years of administrative experience, ideally within the healthcare industry.
