Description We are offering a contract to permanent employment opportunity for an Administrative Assistant in Wilmington, Delaware, United States. The chosen candidate will be part of a team that is responsible for various administrative and clerical tasks. The role requires strong organizational skills and attention to detail as you will be processing and verifying employment eligibility forms, coordinating verification requests, and maintaining secure employee records.
Responsibilities:
• Manage general administrative duties such as scheduling appointments, maintaining calendars, and responding to inquiries.
• Assist with onboarding activities, including distributing documents and ensuring completion of new permanent paperwork.
• Coordinate and respond to employment verification requests for current and former employees with accuracy and timeliness.
• Maintain both electronic and physical employee records in an organized and secure manner.
• Prepare, edit, and format documents, reports, and correspondence as required.
• Organize and maintain departmental records, ensuring the proper filing and archiving of important documents.
• Provide logistical support for events, meetings, and training sessions. This includes booking rooms, sending invitations, and preparing materials.
• Ensure all administrative procedures adhere to current legal and HR compliance standards.
• Verify the accuracy and completeness of all submitted forms and uploaded documents.
• Work in close collaboration with HR, operations, and program staff to streamline administrative processes and resolve logistical issues.
• Communicate effectively with internal teams and external stakeholders to relay pertinent employment-related information. Requirements • Minimum of 2 years experience as an Administrative Assistant or in a similar role
• Proficiency in answering inbound calls and providing excellent customer service
• Demonstrated ability in data entry tasks with high accuracy
• Competence in handling email correspondence professionally and promptly
• Experience with both inbound and outbound calls
• Proficiency in using Microsoft Excel for data management and analysis
• Ability to use Microsoft Outlook for managing emails, calendars, and scheduling appointments
• Skilled in creating and editing presentations using Microsoft PowerPoint
• Comfortable with drafting, editing and formatting documents in Microsoft Word
• Proven experience in scheduling appointments and managing calendars efficiently TalentMatch®
