The Administrative Assistant will maintain, coordinate, and complete administrative tasks in an efficient and professional manner to the highest quality standards. Provide an extensive menu of administrative services to the corporate associates with outstanding internal customer service. Support the executive administrative team as needed.
**Essential Duties & Responsibilities:**
+ Provide administrative support for senior leadership and their teams.
+ Provide administrative support for department projects.
+ Complete monthly expense reports for executives and the Executive Assistant team.
+ Manage Purchase Order process including PR requisitions, the creation of PO’s and approval for payment in SAP for HR, Commercial and Operations teams.
+ Coordinate visits for Distributor Principals and SSC Associates including Executive meeting scheduling, facility tour scheduling, conducting GHQ tours, and assistance with meals and accommodations.
+ Monthly management of Global Operating Committee, Action Team, and other leadership and department distribution lists
+ Support Associate Resource Group's and the Swagelok Foundation in ordering brand approved swag for outside events.
+ Support the Executive Administrative Team as needed.
+ Plan and execute associate recognition events.
+ Monitor and fulfill companywide lunch requests meeting the needs of the internal customers while maintaining productive relationships with selected vendors.
+ Partner with the facilities team to manage the logistics of incoming meals and catering.
+ Manage incoming calls, answer inquiries when possible and/or direct caller to the appropriate associate.
+ Inventory and order office supplies for global headquarters and six additional locations.
+ Plan corporate outings and off-site events including meetings and community service.
+ Fulfill all incoming request for bereavement flowers and donations.
+ Function as a liaison between the leadership and IT for technology issues, equipment ordering and access requests.
+ Assist non-profiled international associates with travel arrangements and accommodations.
+ Support the Reception desks as needed.
+ Assist in developing standard operating procedures for this role.
+ Additional administrative tasks as needed.
**Education and/or Work Experience Requirements:**
Required:
+ High school diploma or equivalent
+ 3+ years of office administrative work
+ 1+ years of customer service experience
+ Exceptional written, verbal, and interpersonal communication skills
+ Detailed planning, time management and organizational skills
+ Ability to work independently and self-manage workload.
Preferred:
+ Associate or bachelor’s degree
**Working Conditions and/or Physical Requirements:**
+ Working conditions associated with normal office environment.
+ Ability to operate standard office equipment (e.g., computer, telephone, copier, printer, etc.).
+ Ability to effectively communicate in both small and large groups and settings
+ Occasional domestic and/or international travel may be required.
+ Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and quantitative productivity standards.
+ Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
