You will be expected to serve as the Administrative Assistant to the IT director and staff including performing confidential administrative duties as an assistant. This job will also involve Financial and Personnel responsibilities. Minimum Education Level High School Diploma / GED Minimum Experience Level One year general office experience including typing 40 words a minute. Knowledge of: + Principles of office management , word processing , spreadsheets including business English, composition, spelling, and punctuation. + Basic multi line phone use. Skill or ability to: + Perform complex assignments not requiring close supervision . + Convey information, ideas, and facts both orally and in writing to supervisors, colleagues, and individuals, inside and outside the county, using language and a format the audience will best understand. + Utilize computers and other technology to communicate in written and verbal forms (e.g., word processing, texts, emails, spreadsheets, department-specific software). + Effectively relate well with others, including supervisors, colleagues, and individuals inside and outside the county. Exhibit a professional manner in dealing with others and working to maintain constructive working relationships. + Take personal responsibility for the quality and timeliness of work. Show up to work on time, and follows instructions, policies, and procedures. Meet productivity standards, deadlines, and work schedules. General Office: + Perform general office duties such as filing and preparing correspondence. + Devise new computerized forms and updates existing forms for all phases of work in the office. Prepares memos , correspondence, pamphlets , handouts, brochures, etc . as needed for the office. + Research and consult with vendors for the IT department needs, as directed . + Receive and process departmental mail and deliveries ; prioritizes, distributes, and takes appropriate action. Management Support: + Schedule appointments, meetings, maintains calendar and places calls for IT director . Financial: + Process purchases and monthly billings. + Process county wide bills for various hardware and software subscriptions. + Process office supply purchasing. + Purchase all technical equipment for the county. Customer Service: + Occasional helpdesk routing and message taking. Personnel: + Maintain office personnel files for all employees. + Prepare personnel requisitions and personnel action forms . + Act as primary liaison with personnel and finance. + Complete new employee documentation. + Assist new employees with questions re: Personnel Rules, financial issues, and office policies.
