Description We are offering a long-term contract employment opportunity for an Administrative Assistant in the industry, based in WEST LAWN, Pennsylvania. The role involves maintaining and managing accounts, handling customer service, and administering office operations.
Responsibilities:
• Handle incoming service calls and distribute them to the appropriate personnel.
• Manage accounts receivable, including tracking past due accounts.
• Create and maintain office records, work tickets, and invoice accrual sheets.
• Assist in coordinating manpower scheduling for technicians.
• Attend department meetings, taking notes and maintaining records of proceedings.
• Process subcontracts and new monitoring contracts.
• Review and update monitoring accounts daily.
• Maintain and update daily calendar for technicians.
• Ensure compliance with safety regulations, including the collection of safety talks.
• Perform basic accounting functions such as billing, accounts receivable, and accounts payable.
• Assist in resolving any issues or corrections needed by the Corporate Branch.
• Handle customer requests and inquiries.
• Coordinate manpower with Corporate Service Department and/or other branch offices as needed. Requirements • Proven experience as an Administrative Assistant or relevant role.
• Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word.
• Experience with both inbound and outbound calls.
• Ability to effectively manage and schedule appointments.
• Excellent customer service skills and a customer-oriented mindset.
• Demonstrated ability to handle data entry tasks with accuracy and attention to detail.
• Experience in answering inbound calls in a detail-oriented and timely manner.
• Outstanding email correspondence skills, with the ability to communicate clearly and effectively.
• In-depth understanding of administrative and office procedures.
