Administrative Assistant
Description We are offering a permanent employment opportunity in the Wholesale Distribution industry based in Los Angeles, California. We are in search of an Administrative Assistant who will play a crucial role in supporting our procurement team with administrative and purchasing tasks. Responsibilities • Assist in the procurement of interior furnishing packages to ensure smooth operations. • Update and maintain vendor information in our database, ensuring accurate records. • Support the team by handling vendor follow-ups and ordering samples when necessary. • Compose and assemble project care and maintenance manuals for effective communication and reference. • Carry out various administrative tasks as required to support the functioning of the office. • Keep installation kits well-organized and ready for use. • Utilize different software such as Microsoft Office Suite and Adobe InDesign to accomplish tasks. • Handle sensitive information with utmost confidentiality and professionalism. • Engage in activities related to purchasing and procurement, providing necessary support. • Take on the role of a buyer, when required, ensuring the best value for purchases. • Answer inbound calls and provide excellent customer service. • Perform data entry tasks and manage email correspondence effectively. • Schedule appointments and manage inbound and outbound calls. • Work with multiple vendors, maintaining good relations and effective communication. Requirements • Minimum of 3 years of experience in an administrative role within the Wholesale Distribution industry • Proficient in answering inbound calls and managing both inbound and outbound calls • Strong customer service skills with a focus on delivering high-quality service • Expertise in data entry and maintaining accurate records • Ability to manage email correspondence effectively and professionally • Proficient in Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word • Experience in scheduling appointments and coordinating schedules • Knowledge of purchasing procurement processes and support purchasing • Background in procurement and buyer roles • Familiarity with architecture design is preferred • Proficient in Adobe InDesign • Experience in managing relationships with multiple vendors.
