Administrative Assistant
Description We are seeking an Administrative Assistant to join our team in Holmdel, New Jersey. In this role, you will be tasked with various administrative duties within the property management industry. You will play a vital role in our operations, requiring strong organizational skills, excellent phone etiquette, and superior customer service abilities. Responsibilities: • Manage a high volume of incoming calls related to our property. • Greet visitors, prospective renters, and current residents in a warm and welcoming manner. • Provide accurate information to potential and current residents. • Promote our properties using various media and advertising techniques, including social media platforms such as Facebook and Instagram. • Handle paperwork related to the property and ensure it's properly filed. • Keep the office organized and order supplies as needed. • Collaborate with the maintenance team to address residents' work orders. • Maintain and update the wait list and send out related letters. • Conduct daily tours of the property, ensuring it is neat, tidy, attractive, and well-maintained. • Carry out other duties as assigned. Requirements • Proven experience in answering inbound calls, demonstrating excellent telephone etiquette and customer service skills • Proficiency in data entry with a high level of accuracy and attention to detail • Capability to handle email correspondence with detail orientation and efficiency • Experience with both inbound and outbound calls, displaying exceptional communication skills • Advanced knowledge of Microsoft Excel, capable of creating complex spreadsheets and performing data analysis • Proficiency in Microsoft Outlook for managing emails, calendars, and contacts • Demonstrated ability in using Microsoft PowerPoint to create effective presentations • Proficiency in Microsoft Word for creating detail-oriented documents and reports • Proven ability to schedule appointments, manage calendars, and coordinate meetings effectively.
