Administrative Assistant
Description We are seeking an Administrative Assistant to join our team in GRAND RAPIDS, Michigan. This role is integral to our Housing Association operations, providing pivotal back office support. This role offers a contract to permanent employment opportunity. Key responsibilities: • Efficiently manage all incoming communication, including calls and emails. • Accurately process and track tenant applications and lease paperwork. • Liaise with the maintenance team to coordinate necessary repairs and routine apartment maintenance. • Provide a warm welcome to residents, prospective residents, and visitors, identifying their needs and guiding them accordingly. • Handle office correspondence and maintain a database of tenants, prospective tenants, and relevant contacts. • Coordinate check-ins and check-outs for existing and incoming tenants. • Carry out administrative tasks such as handling cash receipts, preparing reports, invoicing, and rent collection. • Uphold the highest level of discretion when handling confidential and sensitive information. • Ensure the office and lobby area are always well maintained and organized. Requirements • Proficiency in Back Office Support, with the ability to handle administrative tasks efficiently and effectively • Demonstrated experience in Filing, ensuring documents are stored correctly and can be retrieved quickly • Proficiency in Scanning, with the ability to digitize paper documents accurately • Strong Data Entry skills, with emphasis on accuracy and speed • Outstanding Customer Service skills, with the ability to handle inquiries and complaints professionally and courteously • Previous experience in a Housing Association or a similar industry would be advantageous • Excellent organizational skills, with the ability to prioritize tasks and manage time effectively • Strong written and verbal communication skills • Proficiency in using Microsoft Office Suite, including Word and Excel • Ability to work independently and as part of a team • High school diploma or equivalent required, a degree in a relevant field would be a plus TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
