Administrative Assistant
Description We are offering a short term contract employment opportunity for an Administrative Assistant in the Financial Services industry, based in Downers Grove, Illinois. In this role, you will be performing a variety of administrative tasks to ensure smooth and efficient operations. Responsibilities: • Handle phone calls professionally, directing them to the appropriate individuals or departments. • Efficiently manage both incoming and outgoing mail to ensure prompt processing. • Perform a range of general administrative tasks including data entry, document scanning, and filing. • Maintain an accurate inventory list through systematic record-keeping. • Prepare and dispatch documents via email to clients using DocuSign. • Handle sensitive information with confidentiality and professionalism. • Provide comprehensive administrative support for W-2s, 1099s, and charitable item documentation. • Maintain the office environment by ensuring it is well-organized and clean. • Use Microsoft Excel, Microsoft Word, and Microsoft Outlook for various administrative tasks. • Schedule appointments and manage inbound and outbound calls. • Use Lacerte Tax Software for specific administrative tasks. Requirements • Minimum of 1 year of experience in a similar role within the financial services industry • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word • Strong customer service skills, with the ability to handle both inbound and outbound calls • Experience with data entry and a keen attention to detail • Excellent email correspondence skills, with the ability to draft and respond to emails professionally • Ability to schedule appointments and manage calendars effectively • Familiarity with W2 and Form 1099 procedures • Experience or willingness to learn Lacerte Tax Software • Proficiency in using DocuSign for digital document management • A keen sense of professionalism and discretion, given the sensitive nature of financial information • Ability to multitask, prioritize, and manage time effectively • Excellent written and verbal communication skills.
