Administrative Assistant
Description We are a firm in the legal industry, situated in Parsippany, New Jersey, and we're currently seeking an Administrative Assistant. This role offers a contract to permanent employment opportunity. As an Administrative Assistant, you will be responsible for a variety of tasks, from processing customer applications to maintaining accurate customer records and resolving customer inquiries. This position also involves monitoring customer accounts and taking appropriate action. Responsibilities: • Handling incoming mail and routing them to the appropriate channels. • Downloading, saving, and organizing documents into virtual files and folders. • Answering and forwarding telephone calls, as well as providing information where necessary. • Management of contacts in Outlook and the firm's contact management system. • Arranging travel for attorneys and clients. • Coordinating conference calls, meetings, and appointments, inclusive of room reservations and catering when necessary. • Entering deadlines into the firm's docketing system. • Submitting requests for invoice payments, checks, and expense reimbursements. • Creating, editing, formatting, and proofreading documents. • Assisting with the corporate closing process and post-closing process. • Registering attorneys for seminars and annual memberships. • Assisting with filings, mailings, and other projects. • Supporting the team and performing other duties as assigned. Requirements • Minimum of 2 years of experience in an administrative role, preferably within the legal field. • Proficiency in Microsoft Office Suite including Microsoft Word, Excel, PowerPoint, and Outlook. • Excellent customer service skills, with experience in handling both inbound and outbound calls. • Ability to manage email correspondence efficiently and with attention to detail. • Proven experience in data entry, ensuring accuracy and meticulousness. • Demonstrated ability to schedule appointments, managing multiple calendars if necessary. • Experience answering inbound calls in a courteous and detail-oriented manner. • Ability to multitask and prioritize work in a fast-paced, deadline-driven environment. • Strong communication skills, both written and verbal, are essential. • Must be organized, detail-oriented, and able to handle confidential information with discretion.
