Administrative Assistant
Description We are offering a permanent employment opportunity for an Administrative Assistant in the Financial Services industry, based in Dallas, Texas. In this role, you will play a pivotal part in supporting various programs and ministries, maintaining a deep understanding of their operations and providing timely and accurate responses to information requests. Responsibilities: • Assist team members with clerical tasks as assigned • Manage and update information in Salesforce efficiently • Facilitate arrangements for special events including Retreats, Conferences, Luncheons, and ensure all staff are informed of these arrangements in a timely manner • Process invoices, reimbursement vouchers, credit card statements, and travel expenses accurately and promptly; maintain a robust record retention system for these documents • Handle email, regular mail, and other correspondence in a timely manner • Contribute to digital communications efforts such as proofreading and submitting texts for posting • Prepare and proofread letters, memos, spreadsheets, and other correspondence swiftly and accurately • Collaborate effectively with co-workers to meet objectives and complete projects on time • Maintain compliance with all relevant policies, procedures, laws, and regulatory requirements • Attend meetings and participate in training as required, including preparing exhibits and maintaining proper inventory of materials • Support event planning including registration, certificate issuance, participant reports, and other required tasks Requirements • Possess excellent customer service skills to interact with clients and cater to their needs efficiently. • Proficient in answering inbound calls and handling inbound/outbound calls, demonstrating excellent communication skills. • Capable of performing data entry tasks with high accuracy and attention to detail. • Skilled in email correspondence, ensuring clear and detail-oriented communication. • Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word is required. • Capable of scheduling appointments, managing calendars and coordinating meetings. • Prior experience in the Financial Services industry is preferred but not mandatory. • Strong organizational skills and the ability to multitask effectively. • Demonstrates a proactive approach and the ability to work independently. • High school diploma or equivalent qualification required. Higher education or certifications in relevant fields would be an advantage.
