Administrative Assistant
Description We are offering a contract-to-hire employment opportunity for an Administrative Assistant, located in White Bear Lake, Minnesota, United States. The role is primarily office-based and involves a range of tasks from document management to event planning. As an Administrative Assistant, you will be expected to handle front desk operations, assist with incoming inquiries, and take on a significant document scanning project. Responsibilities: • Oversee front desk operations and assist with incoming inquiries • Handle a large-scale document scanning project to digitize and securely store records online • Support other departments by creating and managing spreadsheets • Manage inventory by tracking and ordering office supplies and stocking items • Plan logistics for three company-wide meetings annually, including catering, seating, and tracking RSVPs • Show flexibility and initiative by assisting colleagues with additional tasks as required • Use Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word to perform tasks and manage data • Schedule appointments and manage email correspondence • Provide customer service by answering inbound calls and conducting inbound and outbound calls. Requirements • Proven experience in Answering Inbound Calls, demonstrating excellent communication skills • Strong background in providing Customer Service, ensuring the highest level of customer satisfaction • Proficiency in Data Entry, with a keen attention to detail and accuracy • Extensive experience in Email Correspondence, showcasing excellent written communication abilities • Capability to handle both Inbound and Outbound Calls, managing a high volume of calls effectively • Proficiency in Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint and Microsoft Word • Experience in Schedule Appointments, ensuring the smooth running of daily operations • Proficiency in Document Scanning, ensuring all documents are digitized and properly stored • Demonstrable Organizational capabilities, with the ability to prioritize tasks and manage time effectively • Experience in Company-wide Party Planning, coordinating logistics and ensuring all details are taken care of.
