Administrative Assistant
Description We are in search of an Administrative Assistant in the Rental/Leasing Services industry, based in Hopewell, Virginia, United States. The role involves assisting in the management of the Housing Choice Voucher and Project Based Voucher waitlist, supporting initial tenant approval processes and conducting Housing Quality Standard Inspections, among other responsibilities. This role offers a short term contract employment opportunity. Responsibilities: • Assisting in the management and updating of the Housing Choice Voucher and Project Based Voucher wait list • Providing support in the initial tenant approval, re-examination, interim examination, and inspection processes • Conducting Housing Quality Standard Inspections • Managing electronic and paper Program records and ensuring they are up-to-date • Preparing periodic reports and related documentation • Being the first point of contact for the HCVP Department • Coordinating Briefing preparation and execution • Processing Program information in both electronic and paper formats • Assisting in enforcing Program policies and regulations, as overseen by the HCV Manager • Performing routine office duties such as answering telephones, screening and responding to calls, and filing • Undertaking other related tasks, as assigned. Requirements • Demonstrated expertise in answering inbound calls, managing customer inquiries and providing excellent customer service. • Proven ability in data entry, ensuring high levels of accuracy and attention to detail. • Proficiency in email correspondence, capable of drafting, editing, and sending detail oriented emails. • Experience handling both inbound and outbound calls, managing customer inquiries and complaints effectively. • Proficient in Microsoft applications including Excel, Outlook, PowerPoint, and Word. • Ability to schedule appointments efficiently, coordinating schedules and ensuring smooth operations. • Experience or understanding of supportive housing in the rental/leasing service industry. • Excellent communication skills, both verbal and written. • Ability to multitask and prioritize work in a fast-paced environment. • Proactive and able to work independently as well as part of a team. • High level of organization and attention to detail.
