Job Description
We are seeking a detail-oriented Administrative Assistant to join our team. The successful candidate will continually evaluate existing inventory and product flow, develop process improvements, and manage the reconciliation of daily and period-end data in System 21. You will coordinate and direct activities involving the scheduling and release of work orders, supervise daily production recording activities, and assist Plant Managers with production planning. Additionally, you will manage purchase orders, track and report monthly budgets, and perform general administrative responsibilities.
ResponsibilitiesContinually evaluate existing inventory and product flow, developing process improvements to sustain timely and accurate information flow.Develop and implement performance measurements for information and product flow.Manage the reconciliation of each day and period end in System 21, providing accurate, timely, reliable, and useful information.Coordinate and direct activities involving the scheduling and release of work orders.Supervise daily production recording activities, ensuring timely and accurate order fulfillment.Enter all completed work orders in System 21.Assist Plant Managers with production planning based on sales orders and promised delivery dates.Investigate and reconcile any inventory inaccuracies such as cost variances or physical inventory discrepancies. Calculate and process inventory adjustments as needed.Manage Purchase Orders and perform a 3-way match to ensure timely payment of invoices.Track and report monthly budgets for multiple departments, ensuring all are within limits.Answer incoming calls and direct them to the appropriate person, screen calls, and take messages as necessary.Greet and direct all visitors warmly, notify employees when visitors arrive, distribute safety equipment as needed, and coordinate completion and maintenance of employment applications.Perform general administrative responsibilities, including miscellaneous filing, distributing and sending faxes, maintaining inventory of printer cartridges, coordinating office machine maintenance, preparing presentations, typing various correspondence and lists, preparing weekly outgoing shipments, and running local errands as requested.Essential SkillsProficiency in data entry and administrative assistance.Experience with purchase orders and work orders.Strong customer service skills.Proficient in Microsoft Office, including Outlook, Excel, and email management.Excellent clerical and filing skills.Strong computer skills and knowledge of ERP systems.Experience with process improvement or manufacturing tools.Strong project management, interpersonal, and analytical skills.Excellent knowledge of computer business systems and their applications.Additional Skills & QualificationsExperience with logistics and office support.Ability to manage front desk responsibilities efficiently.Work Environment
The work environment is located in a well-lighted plant office area subject to distractions from office machines, other employees, outside callers, and visitors. The role requires working Monday through Friday from 7:30 AM to 4:30 PM. There may be occasional trips into the production area.
Pay and Benefits
The pay range for this position is $25.00 - $26.00/hr.
