Administrative Assistant
Description We are inviting applications an Administrative Assistant in a busy law firm. Our team is based in Cedar Rapids and this role offers a short-term contract employment opportunity. Key Responsibilities: + Administrative Support: Manage attorneys’ schedules, coordinate meetings, maintain calendars, and handle correspondence + Document Preparation & Management: Draft, format, proofread, and file legal documents, including wills, trusts, powers of attorney, and estate plans, ensuring compliance with legal standards and firm guidelines. + Client Communication: Serve as a point of contact for clients, providing exceptional customer service by answering inquiries, scheduling appointments, and directing requests to the appropriate attorneys + File & Record Management: Organize and maintain physical and electronic client files, ensuring proper archiving and confidentiality in compliance with legal and regulatory requirements. + Billing & Timekeeping: Assist attorneys with billing processes, track billable hours, and generate invoices using firm-approved systems. + Meeting Support: Prepare materials for client consultations, hearings, and presentations, and follow up on action items discussed. + Research Assistance: Conduct basic legal and administrative research as directed by attorneys. + General Office Duties: Support the daily operations of the office, including managing incoming mail, ordering supplies, and maintaining a well-functioning workspace. Requirements • Proficiency in answering inbound calls, handling queries, and providing valuable information to clients. • Excellent customer service skills with a proven ability to resolve issues promptly and with a detail-oriented approach. • Advanced skills in data entry, ensuring accuracy and efficiency in handling large volumes of information. • Ability to manage email correspondence effectively, responding to inquiries in a timely and detail-oriented manner. • Experience with both inbound and outbound calls, maintaining high standards of communication at all times. • Proficiency in using Microsoft Excel for data analysis, reporting, and spreadsheet management. • Familiarity with Microsoft Outlook for email management, scheduling, and task organization. • Proficiency in creating and editing presentations using Microsoft PowerPoint. • Advanced skills in using Microsoft Word for document creation, editing, and formatting. • Ability to schedule appointments, manage calendars, and ensure all meetings and events are well-coordinated. • Knowledge or experience in Wills and Estate Planning would be an added advantage.
