Description We are offering a permanent employment opportunity for an Administrative Assistant in Wauwatosa, Wisconsin. As an Administrative Assistant, you will be responsible for a variety of tasks including managing customer calls, resolving issues, scheduling appointments, and assisting in advocacy and outreach campaigns.
Responsibilities:
• Attend to incoming calls from the national queue, ensuring effective and detail-oriented communication at all times.
• Take charge of resolving member issues by reviewing their files in the Lynx system.
• Document all member issues and resolutions in the member's narrative within the Lynx system.
• Schedule appointments for members across all departments.
• Assist members with their Member Portal, including resolving password issues.
• Input complaint details into the Lynx system, including member and staff information, subject of complaint, description, and resolution.
• Make outgoing calls to members as required.
• Respond to all emails from the assigned Email Follow-up lists.
• Stay updated with the organization's policies and procedures to provide accurate and consistent responses to questions.
• Participate in advocacy and outreach campaigns by contacting members, community leaders, and others.
• Perform other duties as assigned. Requirements • Proficiency in administrative assistance and office administration
• Familiarity with administrative office operations
• Competency in basic office skills such as filing, data entry, and typing
• Experience with inter-office mail handling
• Ability to order office supplies as needed and maintain inventory
• Proficient in operating office equipment such as printers, scanners, and fax machines
• Experience handling inbound and outbound calls
• Excellent customer service skills
• Experience in receptionist duties including answering multi-line phone systems and switchboards
• Ability to coordinate corporate, charity, community, and outreach events
• Proficiency in scheduling appointments and managing calendars
• Ability to assist customers, guests, and visitors in a detail oriented and courteous manner
• Fluency in Spanish language is a plus TalentMatch®
