The administrative assistant will provide clerical support, manage correspondence, schedule appointments, and organize files. Serving as a key point of contact, the administrative assistant will facilitate internal and external communications, including emails and phone calls. Additionally, this individual will maintain and update databases, spreadsheets, and records, coordinate meetings by preparing agendas and taking minutes, and assist with payroll processes including gathering employee time records and ensuring compliance with relevant regulations.
Administrative Responsibilities:
Assist in processing payroll for frontline employees, including managing the timeclock punches in and out. Perform administrative duties in a fast-paced airport setting supporting engineering and operations team. Represent the company in a professional, courteous manner at all times. Provide excellent customer service to both our internal and external customers/business partners. Duties will include managing frontline responsibilities for tenant calls/service requests and memo communications, vendor communications, updating of preventative maintenance schedules and equipment lists, drafting/execution of service contracts and purchase orders, A/P support, COI tracking, and other special tasks or projects, as needed by the team. Assist operations and engineering teams with other administrative and office support tasks, as needed.
Education and Experience:
High school diploma required. Minimum 2+ years in corporate, professional setting required. Payroll experience required. Must have the ability to multi-task and prioritize based on business and team needs. Candidate must be a self-starter. Must be proficient with Microsoft Office platform, including Outlook, Word, Excel and PowerPoint. Strong communication skills, both oral and written. Strong organizational, problem-solving and analytical skills; with ability to manage priorities and workflow. customers/business partners. Bilingual in English/Spanish a plus.
