Provides essential support to Department Directors and Professional Staff. This role requires advanced computer skills and ensures the efficient execution of administrative tasks.
ResponsibilitiesGreet visitors promptly and courteously; respond professionally to phone calls and perform office management duties.Communicate with employees, customers, and other individuals to answer questions, disseminate information, take orders, and address complaints.Demonstrate a willingness to learn data collection from vendor software.Assist Department Directors with data entry for departmental reports on productivity, efficiency, budgets, and quality improvement.Take accurate telephone messages and deliver them promptly; refer calls appropriately.Maintain the confidentiality of all privileged information, records, reports, and files.Organize the workday effectively, prioritize tasks, and make the best use of the person solutions to problems, take appropriate action, and exhibit resourcefulness in achieving goals.Perform duties that need to be done, even if not directly assigned; regularly assist others.Monitor office and computer supply levels to increase efficiency and prevent work interruptions.Provide administrative support to Department Directors, demonstrating high interpersonal skills when dealing with IS customers and personnel.Maintain the CIO and Directors' appointment calendars accurately using Outlook.Meet deadlines for assignments and projects.Complete assignments independently and meet deadlines for daily responsibilities and special projects.Provide administrative and billing support, including requests, invoicing, and billing.Coordinate meetings for departmental activities as directed by Department Directors.Ensure the timely preparation and distribution of materials for staff; distribute interoffice mail and schedule rooms for meetings.Maintain and preserve the confidentiality of records in accordance with departmental policy, demonstrating awareness of HIPAA regulations related to protected healthcare information.Essential SkillsAdministrative support experienceCalendar managementProficiency in Microsoft OfficeExperience with OutlookExecutive or Administrative assistant experienceAdditional Skills & QualificationsHigh school diploma required; Associate's Degree in a related field preferred.Minimum of five years of previous office experience preferred.Work Environment
This role is based in a 160-bed acute care community hospital serving more than 130,000 residents of the Lower Naugatuck Valley Region. The hospital serves as the flagship hospital for an international leader in patient-centered care and has received national recognition for creating healthcare facilities and an approach to patient care that is responsive to the needs of patients. The hospital is affiliated with the Yale School of Medicine and The Frank H. Netter MD School of Medicine at Quinnipiac University, and accredited by The Joint Commission. Pay and Benefits
The pay range for this position is $24.00 - $28.00/hr.
