Our client in the Fort Lauderdale, Florida area is looking to hire an Administrative Assistant for their location. The administrative assistant will be responsible for handling a variety of office tasks, providing clerical support to project managers and installers, and ensuring efficient communication across teams. This role requires a strong multitasker who is comfortable in a fast-paced environment and enjoys working in a supportive, team-oriented company.
The Day-to-Day:
Serve as the initial point of contact for client inquiries, answering calls, responding to emails, and directing clients to the appropriate team member.Assist with project scheduling and coordination, working closely with the Office Manager to maintain an organized calendar for installations and team availability.Maintain and organize company files, contracts, and client documents, ensuring accuracy and easy access for team members.Input project data, track key metrics, and prepare reports as requested by the management team.Monitor office supplies and place orders as needed to ensure smooth office operations.Assist with processing invoices, tracking expenses, and coordinating with clients on billing inquiries.Provide administrative support to the field team, including handling paperwork, coordinating logistics, and facilitating communication between the office and field staff.Support HR functions, such as tracking timesheets, assisting with onboarding, and maintaining employee records.Qualifications:
High School Diploma1–3 years of experience in an administrative or office support role, preferably in a service or construction-related industry.Strong written and verbal communication skills, with proficiency in Microsoft Office Suite (Word, Excel, Outlook), QuickBooks Online, and basic familiarity with office equipment.Highly organized with strong attention to detail.Ability to manage multiple tasks and meet deadlines in a fast-paced environment.Friendly, professional demeanor with a commitment to delivering excellent client service.Adaptable and comfortable working in a dynamic environment with shifting priorities.Pay Rate:
$18.00 /hr:Schedule:
Monday to Friday8:00 AM to 5:00 PM
