We are looking for:

 Administrative Assistant:

This position provides diversified and complex administrative or secretarial support of an independent, responsible and confidential nature.  Using initiative and judgment, the incumbent plans and carries out administrative functions requiring considerable knowledge of the company. This position will report to the Director of NA Technology Center team of the Bristol Research & Innovation Centre.  Bristol is a multidisciplinary location which also hosts the application labs for the Syensqo Novecare business unit as well as the Syensqo Corporate R&I Process Safety and Automation & Robotics laboratories. 

 

We count on you for: 

Support several teams within Bristol Formats, types and proofreads complex reports, forms, graphics, manuscripts and memorandums requiring interpretation or judgment.   Coordinates physical preparation of reports generated within an organizational unit or by various organizational unit(s) to ensure appropriate parties receive the information in a timely manner. Supports regional CAPEX manager to maintain updated CAPEX requests, places CAPEX purchases, tracks with timely updates, and ensures CAPEX is received as requested Schedules meetings and follows up with attendees.  Handles conference room, teleconference and telepresence reservations and orders refreshments and supplies for the meeting. Screens incoming telephone calls and visitors.  Answers questions or refers them to appropriate people; relays messages. Transmits messages and decisions to management and other internal and external parties to keep them informed of project or program status and performance. In supervisor’s absence, ensures that requests for action or information are relayed to the appropriate staff member.   Gathers and reviews non-technical data for completeness and consistency.  Tabulates and summarizes operational or financial data to prepare complex reports and documents of a confidential or proprietary nature.   Identifies and independently handles department-specific activities referring only unusual questions to supervisor or others.  For example, prepares monthly time-entry, may order chemical supplies for the site, handles detailed communications, maintains databases, and reconciles company purchase card (“P Card”) statements. Makes travel arrangements and may prepare expense reports as requested.  Requests checks and codes payments, as appropriate.  Maintains and reorders office supplies Establishes and maintains records, logs, files and follow-up systems. May provide technical assistance and serve as a resource to other secretarial staff members in the department. Has regular contacts with other departments furnishing or obtaining information or reports.

 

 You will bring:   

3+ years of administrative experience or equivalent background supporting administrative needs and providing support through Microsoft Office systems or related database software programs.   Proficiency in Word, Excel, PowerPoint, SRM-7, RCS, RTO (web-based travel or purchasing systems) preferred. Ability to work efficiency, set priorities and handle multiple tasks at once. Excellent communication skills - oral and written; ability to articulate and be diplomatic. Ability to work with minimal supervision and to effectively focus resources and priorities. Strong problem-solving skills and initiative to find resolution when in ambiguous situations. Maintain a high degree of professionalism which includes a positive attitude and strong initiative resulting in positive results. High school diploma, associates / bachelor’s degree preferred Proficiency in MS Office or suite; knowledge of SAP, BIP, RTO applications Good written and oral communication skills Ability to work on several projects at the same time Be able to solve problems

You will get:

The U.S. base salary range reasonably expected to be paid for this position is $55,678-69,598 per year. Since actual compensation packages are based on a variety of factors unique to each candidate we may ultimately pay more or less than the posted base salary range. Total compensation for this role also includes bonus and/or other incentives.  16, or more, weeks of maternity/paternity and co-parenting leave, according to local regulations.  Training platform for all employees Free language courses (24 languages available) Free well-being sessions (physical and psychological) 

 

Additional Information:

Incumbent is expected to manage the administrative needs of the local teams.  Act with the support of the rest of the administrative assistant team at the site. SIZE   Supports an average of 30 people directly (lab teams) and transversal responsibilities  Internal:  Research personnel, laboratory managers, purchasing, accounting, communications departments  External:  supply vendors, catering companies Knowing and following key Solvay safety policies and procedures for the site (and where appropriate the labs), including but not limited to the following:  Emergency Response / Evacuation Guidelines Visitor Safety Policy Mandatory Safety Meetings  Housekeeping Taking action and reporting on any near miss / condition / behavior. Everyone on site is empowered to intervene on any unsafe act that they may observe. Know the location of: closest first aid kit and emergency alarm SDS eyewash and safety shower fire extinguishers PPE storage Wearing appropriate PPE while in the laboratory Obtain safety training as necessary
