**Job Summary and Qualifications**
As the Administrative Assistant for Cardiology Services, you will be responsible for the efficient booking and communication of daily Cath Lab, Day Recovery, Cardiac Rehab and Echo schedules. You will ensure that all pertinent information is available to facilitate the most efficient use of physician time, scheduling of department beds, preparing charts, and assisting staff with patient communications. You will provide direct administrative and secretarial support to the Director and Manager of Cardiovascular Services. Within the Cardiac Rehab department, you will facilitate verification of prior insurance authorizations, collection of co-payments, and creation of charts in preparation for therapy appointments.
· You will schedule all patient procedures under Cardiology Services
· You will identify or receive changes and ensure that all changes are recorded in appropriate systems, and that all parties receive timely notification of changes
· You will maintain a copy of physician’s schedules and obtain patient specific records, verifying and updating data in the information system
· You will communicate with Cath Lab leadership to enter scheduling times and other pertinent information into Meditech
· You will act as a liaison between patients, physicians, and other departments
· You will communicate the specifics of the procedure scheduled with the in-patient nurses
· You will coordinate receiving orders and appropriate CPT codes for scheduled procedures
· You will ensure the presence of pre-procedure orders and have a staff MD signature
· You will gather required medical paperwork for scheduled patients
· You will assist with the coordination of pre-admission testing appointments
· You will schedule the allotted time needed based on established procedures, staffing requirements, and physician coverage
· You will review patient history, coordinate specific equipment required for the procedure, and call the patient to review pre-procedure instructions
· You will prepare charts for the following day patients
· You will validate insurance authorization and collect copays for therapy appointments and procedures within Cath Lab and Cardiac Day Recovery
· You will complete charge reconciliation and monthly reports of encounters to send to Accounting
· You will schedule, attend, and participate in department meetings and take minutes
· You will order office supplies, answer phones, and direct calls to appropriate areas
**What qualifications you will need:**
Experience
· 3-5 years of cardiology procedures experience in an administrative setting – preferred
· 2 years of secretarial experience in an acute care setting
Education
· High school diploma or GED equivalent
