As an Administrative Assistant, you will play a vital role in supporting the operational needs of the office, ensuring a smooth and efficient workflow. You will manage office tasks, assist with scheduling and documentation, and provide essential support to staff, clients, and stakeholders. Key Responsibilities

• Office Management:

Maintain office organization and ensure a clean and functional workspace.Manage administrative records, including entering data and completing required documentation.Handle office correspondence, including answering phone calls, relaying messages, and communicating with staff and stakeholders.Order office supplies and oversee equipment maintenance to ensure smooth operations.

• Meeting Support:

Schedule meetings and coordinate meeting logistics, including selecting meeting facilities, equipment, and meals for conferences.Take and maintain meeting minutes for mandatory meetings and share them with relevant parties.Ensure accurate data gathering and summarization for meetings or conferences.

• Documentation and Communication:

Keep updated lists of phone numbers, addresses, and colleague contact details.Distribute mail, messages, and correspondence to team members.Assist with administrative record-keeping and ensure all necessary documentation is completed on time.

• Compliance and Confidentiality:

Ensure adherence to HIPAA and confidentiality requirements at all times.

Knowledge, Skills, and Abilities

• Ability to manage multiple tasks and maintain organization.

• Strong communication skills, with the ability to interact effectively with colleagues and visitors.

• Customer service-oriented with a focus on supporting the needs of the team.

• Proficient in Microsoft Office and other relevant software.

• Reliable, responsible, and dependable, with a flexible attitude toward changing priorities.

Experience and Education Qualifications

• High school diploma or equivalent. Experience in office administration or a related field is preferred.

Employment Requirements:

Successful completion of background check including criminal record, driving record, abuse/neglect and fingerprint check.

Completion of New Hire Orientation at the beginning of employment.

All training requirements including Relias at the beginning of employment and annually thereafter.

Current driver’s license, acceptable driving record and current auto insurance.

Must be able to work Evenings/Over Night, Weekends, and holidays.

Physical Requirements:

ADA Consideration - Sedentary work:  Exerting up to 10 pounds of force occasionally (exists up the 1/3 of the time) and/or a negligible amount of force frequently (exists 1/3 to 2/3 of the time) to lift, carry, push, or pull, or otherwise move objects, including the human body.  Repetitive movements of hands, fingers, and arms for typing and/or writing during work shift.

Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.  Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
