Position Overview:
We are seeking an organized and proactive Administrative Assistant to manage essential office functions, including phone and email communication, appointment scheduling, and meeting coordination. You will support QCH staff members to ensure the smooth day-to-day operation of our office. This role also involves providing assistance to senior management and working collaboratively with clients, vendors, and colleagues in a dynamic, fast-paced environment.
Key Responsibilities:
+ Provide administrative support to senior managers and executives, managing daily tasks such as calendar management and appointment scheduling.
+ Answer phones, manage emails, and ensure timely communication.
+ Organize and maintain the office filing systems, including documentation and correspondence.
+ Coordinate and manage office supplies, ensuring proper stock and smooth operations.
+ Greet visitors and provide general support as the first point of contact.
+ Keep communications current by updating and displaying flyers, brochures, and other materials in designated areas.
+ Assist with the development and review of office policies and procedures.
+ Other related duties as assigned to ensure effective office functionality.
Qualifications:
+ Demonstrated experience in office management and administrative operations.
+ Proficiency in MS Office and office equipment (e.g., printers, fax machines).
+ Strong verbal and written communication skills.
+ Excellent organizational and time-management skills, with a strong ability to prioritize tasks.
+ High School diploma required; additional certification as a personal assistant or secretary is a plus.
+ Professional demeanor with a commitment to providing a welcoming, inclusive environment.
