Administrative Assistant (Fixed Income)

Primary Responsibilities:

Provide administrative support for the EMEA Fixed Income teamsMaintain, organise and review diaries for team members - calendar entries, organising internal and external meetings, scheduling zoom calls and room bookingsProvide phone coverage for Senior Managers and team members, as neededCoordinate travel arrangements, including flights, hotel, visas, and ground transportationProcess and track invoices as well as keeping vendor details updatedProcess business expenses for team members and perform monthly reconciliation of the team’s corporate card statements.Complete any compliance forms in-line with Neuberger Berman’s Gift & Entertainment policyHelp organize periodic fixed income events – both internal & externalRecord team members ongoing CPD to ensure meet compliance requirementsProvide seamless coverage for the FI Income Administrator during any/all of their absences

Key Requirements / Qualifications:

Experience as executive or support assistant or other related relevant experience within the financial services industryAbility to perform in fast paced environmentAbility to effectively work with senior level individuals throughout the firmExcellent organisational and communication skillsHigh level of attention to detailStrong time management skills; ability to prioritise multiple tasks efficientlyResourceful and able to handle multiple and changing prioritiesProactive in following up on details, anticipating issues, and completing tasks in a timely mannerMust have excellent communication skills on the phone and in person, and a strong customer service focus in an intense work environmentAbility to exercise discretion when managing confidential informationMust be teamwork oriented and also be able to work independently with minimal guidanceProactive in building relationships with peers across the firmProficiency in Microsoft Office (e.g. Excel, Word, PowerPoint, and Outlook)
