So, it is our pleasure to announce that we are currently seeking a full-time candidate for the role of Administrative Assistant (AA), to join our team! – Veterans preferred for specific VA Shelter locations.
By ICL definition, under the direct supervision of the Program Dir., an Administrative Assistant is someone responsible for all receptionist-like duties including but not limited to, paperwork, answering calls, scheduling, ordering supplies, data entry, and low-level report preparation.
MIN. ROLE REQUIREMENTS & PREFERENCES:
LOCATION: Staten Is, NY 10305 + Available Monday to Friday – Shift: Hours TBD EDU/EXP: GED/HSE or higher and 2+ years of administration, reception, or clerical experience – preferably in a shelter setting Proper attire always – this includes business casual and/or professional
ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES:
Ability to use sound judgment with strong problem-identification and solving skills Ability to consistently report for work as scheduled, sitting for long periods of time Ability to perform medium to heavy manual labor, including lifting objects weighing up to 20+ lbs Ability to work in a setting with diverse individuals with mental illness and/or behavioral disorders Ability to prepare accurate and timely documentation, reports, and other written material as assigned Knowledge of various software programs, including MS Office: Excel and Word, Work Speed, or similar software Ability to engage in active listening – attending to what other people are saying and asking questions as appropriate Ability to organize time effectively to accomplish all tasks in a timely way and meet deadlines without prompting Ability to work both independently and as a team, to conform to all applicable safety and accountability measures Ability to effectively and efficiently present info and respond to questions, from employees and other persons served Strong communication, listening, interpersonal, writing, and conveying skills – bi-lingual is a plus but not mandatory Ability to serve as a role model including modeling appropriate interpersonal interactions, appearance, and demeanor Knowledge of office processes and equipment use – (e.g. photocopy machine, personal computer, fax machine, typewriter) Ability to use sound judgment with awareness of self and one’s impact on others, and knowing when to seek assistance Ability to learn, understand, and comply with all state and city regulations, policies, and procedures regarding related work Ability to continually learn and apply knowledge with a willingness to participate in in-service training and development activities Ability to function as an effective team member, including performing share of work, cooperating with coworkers, securing cooperation, and maintaining professional relationships and boundaries with co-workers, supervisors, and residents Ability to follow all safety guidelines in accordance with the performance of the tasks mentioned below...
ADMIN. ASSISTANT TASKS:
Collect and maintain PC inventory Meet and greet new residents and visitors Provide office orientation for new employees Support staff in assigned project-based work Comply with attendance and timekeeping rules Maintain hard copy and electronic filing systems Set up and coordinate meetings and conferences Sign for and distribute UPS/Fed Ex/DHL packages Answer telephones and transfer them to the appropriate staff member Research, price, and recommend purchase of office furniture and supplies Set up accommodations and food arrangements for facility visitors when assigned Coordinate and maintain records for staff office space, phones, parking, and facility keys Create and modify documents or enter data using Microsoft Office and other company software Perform general clerical duties including but not limited to photocopying, faxing, mailing, and filing Attend regularly scheduled staff meetings and supervision as well as in-service training and development activities Complies and promotes compliance with all applicable laws, regulations, and agency policies helping to strengthen and maintain an ethical organizational culture Perform other job-related tasks as assigned in an organized and detail-oriented manner… Please Note: To perform this job successfully, an individual must be able to perform each essential duty listed satisfactorily.
