Starting Salary: $1,520.00 Bi-Weekly. (In accordance with current spending restrictions, an internal promotion into the position will be filled at the minimum of the pay grade or up to 5% of the employee's current rate, whichever is higher).

JOB DESCRIPTION:
The incumbent in this position serves as an administrative assistant and director of first impressions for the Office of the Secretary. This is a professional position within the Department of Juvenile Justice, Office of the Secretary. The successful candidate must be detailed-oriented, possess a high level of organizational and prioritizing skills, and maintain a professional appearance.
POSITION DUTIES AND RESPONSIBILITES:
Answers all incoming telephone calls, routes calls to the appropriate staff member and responsible for checking Secretary Office mainline voicemail.
Receive, sorts, and distributes incoming office mail and confidential faxes.
Greets and escorts agency guests to appropriate meeting room.
Provide administrative support to Office of the Secretary (OTS) to include, but not limited to:
Serves as Administrative Assistant to the two Executive Assistants (EAs) in carrying out assignments from them.
Provides administrative support to assist EA's with supporting the following secondary offices: Education, Human Trafficking Intervention, Florida Youth Foundation, Communications, Legislative Affairs and Office of Youth and Family Advocacy. This includes but is not limited to assistance with travel requests and reimbursements, special projects, purchasing office supplies and other administrative functions.
Copying, and scanning documents; check toner levels and change toner as necessary.
Carries out daily assignments given by EA's and works with EA's on diverse tasks involving administrative support; such as conducting special activities.
Responsible for conducting annual property inventory for the Office of the Secretary and secondary offices.
Process monthly cell phone invoices, monthly cell phone verifications and office copier leases.
Responsible for office supply purchasing for Office of the Secretary and secondary office under OTS and manage the lease copier supplies.
Serves as the back-up Safety Coordinator for OTS.
Performs other related duties as assigned.
MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDED THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS, AND ABILITIES:
A minimum of High School diploma (or GED).
Must possess a valid driver’s license.
PREFERRED QUALIFICATIONS:
Four years of office administrative and/or secretarial experience.
A certificate in secretarial/clerical training can be substituted for one year of the required experience.
An associate degree can substitute for two years of required experience.
A bachelor’s degree from an accredited college or university can substitute for the required years of experience.
Preference will be given to candidates that are proficient in Microsoft Office 365 (Word, Excel, SharePoint and Outlook applications) and experience in AOD/MFMP.
