Schedule: Monday – Friday, 8:00 AM – 5:00 PM (40 hours/week) Key Responsibilities Medical Examination Program Management Serve as the primary contact for scheduling and managing occupational health-related medical examinations and referrals. Review medical files for completion and accuracy. Enter relevant medical data into the electronic health record system. Ensure timely review and approval of records by the Fitness for Duty (FFD) decision maker. Escalate complex issues to the administrative team lead as necessary. Administrative Support Provide administrative support to the Americas Regional Medical Teams. Respond to inquiries and redirect as needed on behalf of team members. Collate and maintain monthly medical/appointment statistics. Type letters, memos, and reports related to department operations. Handle correspondence, including scheduling appointments and managing calendars. Coordinate meetings, conferences, and other events. Expectations & Competencies Confidentiality & Compliance Maintain medical confidentiality in accordance with corporate policy and local regulations. Handle sensitive data in compliance with local data protection regulations (e.g., GDPR). Manage and secure medical records, including scanning, photocopying, faxing, and archiving into electronic medical records (EMR). Communication & Customer Service Deliver high-level customer service support to employees. Communicate effectively with external medical providers and patients regarding scheduling. Answer calls, emails, and fax inquiries promptly. Route and respond to mail in a timely manner. Technical & Administrative Skills Proficient in Microsoft Office applications (Outlook, Excel, PowerPoint, Word). Ability to proofread, edit, and update documents as needed. Generate expense reports (CTREX). Type dictated, handwritten, or emailed letters regarding employees. Time Management & Adaptability Strong organizational skills and attention to detail in data entry and record-keeping. Ability to prioritize tasks and manage time effectively. Capable of adapting to evolving business needs. Team-oriented with excellent communication and collaboration skills. Training & Development Attend relevant training courses and company-mandated programs to enhance knowledge and skills.
