What you will be doing

The Administrative Assistant at the Central Fulfillment Center is responsible for supporting the administrative needs of the site related to the coordination of events, general human resources activities, supplies ordering, and logistics of the facility utilizing administrative and clerical skills. Key activities the administrative assistant would be responsible for are scheduling/receiving visitors, meetings scheduling/preparation, coordinating deliveries/vendor visits, and timekeeping for site personnel. The administrative assistant provides support under the direction of the site General Manager.

The position will be based in Irving, TX. The shift arrangement is primarily a day shift and works Monday-Friday. A typical 40-hour workweek with occasional overtime is to be expected.

Main responsibilities

Carries out administrative duties such as filing, typing, copying, binding, scanning, ordering and pick-up of meals for meetings and crew lunches, as necessary. etc. Serve as a receptionist for the facility. Answers phone calls for the site and reroutes to staff as needed. Hosts visitors and coordinates meetings/events. Exhibits polite and professional communication via phone, e-mail, and mail. Oversees administrative tasks related to site timekeeping records for site personnel. Assists new hires with onboarding tasks and verifying I-9 documentation for human resources. Monitor site emails, process requests, and respond to emails promptly. Provides information by answering questions and requests. Order supplies for the warehouse, safety, breakroom, offices, front desk, and warehouse as needed. Create and maintain filing systems, both electronic and physical. Contributes to team effort by accomplishing related results as needed. Ensure cleanliness and professional appearance of the front reception area and guest offices. Other duties as assigned concurrent with all applicable laws and regulations.

We believe the successful candidate has these qualifications and experience

Required:  Administrative Writing Skills Experience managing administrative processes with organization & professionalism. Excellent Written and Verbal Communication Preferred:  Supply Management/Inventory Control experience. Fork truck experience Human Resources administration experience  Technical Experience:  Microsoft Office Skills

Physical Requirements

Mainly a seated position. Visual acuity demands with using a computer.  May assist with deliveries in warehouse environment.  Willing and able to stand/walk with or without reasonable accommodation.
