A master's degree from an accredited college or university can substitute for one year of the required experience. JOB DUTIES: Serves as the Administrative Assistant II within the Rural and Family Lands Protection Program (RFLPP), which requires agricultural easements for working agricultural lands. This position requires the incumbent to be held to a high degree of responsibility and confidentiality, working independently with minimal supervision while handling the many administrative functions of the RFLPP. Incumbent must be able to maintain a good working relationship with many people and to adjust to changing work priorities as directed by their supervisor. Incumbent must be able to meet deadlines. Provides administrative support to the RFLPP. Coordinates, maintains and prepares completed RFLPP files; receiving and distributing mail, shipping packages; recording, tracking and reporting assignments; setting up meetings, making room and conference phone line reservations; scheduling and maintaining calendars; tracking task assignments and purchase orders to ensure timely submittal and preparation of warrant requests; making travel arrangements and processing travel using the Statewide Travel Management System; providing file research and organization and records retention support, assisting with project tracking, answering telephone calls in a professional, courteous and effective manner and accurately transmitting information to the appropriate staff. Collects, reviews, and researches land data and compiles related reports in a timely and accurate manner. Performs data entry, preparation of correspondence, and assists in the development of presentations. Assists acquisition team by requesting and monitoring contract services, including, but not limited to titles, survey, appraisals and closing. Prepares and maintains records related to acquisition services, including preparing financial and department support documentation. Coordinates supply, space and equipment needs for RFLPP. Prepares correspondence and documents in both electronic and paper formats, including prepping and scanning files. Responsible for file management, both electronic and paper.
