The Florida Department of Health (DOH) is responsible for the health and safety of all citizens and visitors to the state. As a public health agency, the Florida Department of Health must monitor the health status of Floridians, diagnose, and investigate health problems, and mobilize local communities to address health-related issues. ADMINISTRATIVE ASSISTANT II: The Administrative Assistant II is responsible for the overall administrative function within the Community Health Division, providing technical support to the Division Director and Program Managers. The position requires considerable independence and responsibility in interacting with all levels of staff within the agency, with partners, and members of the community. The Administrative Assistant II must be familiar or well informed on health department programs and services. This position is responsible for managing division purchasing, some fiscal activities as directed and serves as Kelton liaison with MIS, vendors and FDOH Hillsborough General Services Department. Your Specific Responsibilities: + Conduct and/or attend health related meetings, staff meetings, committees, and work groups + Answer and route phone calls as appropriate + Receive and greet visitors at the Kelton Building + Work with Community Health programs and purchasing agents in developing purchasing requisitions and orders for office supplies, media campaigns, and other program supply needs as needed + Receive goods and services in purchasing system and coordinates invoice payment with fiscal office + Schedule meetings, coordinate agenda and associated logistics as directed + Produce minutes and agendas and organize meeting materials for Community Health Management Team meetings + Receive and distribute mail delivered to Community Health/Kelton Building + Act as liaison with MIS and General Services divisions for work order and program needs. Submits work orders as needed to these administrative programs + Acts as Safety Council Representative for Community Health Required Knowledge, Skills, and Abilities: + Ability to use Microsoft Office programs, especially Word, Excel, PowerPoint, Teams, and Outlook + Ability to use basic office equipment, including computer, printers, phones, and copiers + Skill with interpersonal communications to work effectively with diverse community partners and co-workers + Ability to prepare written reports + Ability to understand and apply office and agency rules, regulations, policies, and procedures + Ability to utilize problem-solving techniques.
