This position provides operational support for the Assistant Director of FDOH-SJC but also assists throughout the agency as needed. This position works independently but must also work with coworkers to accomplish deliverables as a team. This position encourages coordination and communication between all areas of FDOH-SJC. This position consists of professional administrative work by providing complex administrative services to the Assistant Director of FDOH-SJC. This position, also, provides support to the Health Officer and the Operations & Management Consultant I. In coordination/collaboration with the Assistant Director: + Manages the tracking of records requests throughout FDOH-SJC and sends necessary invoices. Assists staff, as needed, with any records requests. + Manages local policies and procedures for FDOH-SJC. + Plans/arranges/prepares for meetings and appointments within FDOH-SJC and with community partners. + Assists with the development and implementation of employee engagement/development activities including but not limited to educational/training, all staff meetings and projects. + Prepares reports for deliverables. + Maintains an effective, up-to-date, record retention/filing system. + Performs necessary tasks to ensure completion of special projects. + Reviews and updates Position Descriptions. Prepares a variety of materials in numerous formats including but not limited to memoranda, letters, reports, minutes and in-house correspondence. Coordinates, as needed, with FDOH-SJC staff to collect data and information in the preparation of documents and/or reports. Performs support functions for FDOH-SJC which includes but is not limited to, working with clients and vendors, answering telephones, processing mail, completing check logs, and providing support for all FDOH-SJC projects and deliverables. Coordinates and participates in meetings and trainings as requested. Completes meeting minutes and meeting follow up as needed. Provides excellent customer service on the telephone and in person. Assumes back-up responsibilities for the Personnel Liaison including but not limited to classification, recruitment, payroll, attendance and leave, insurance and benefits, statewide training and monitoring, file room and facilitate general guidance to management on Human Resource processes. Performs other duties as assigned.
