**Job Summary**
Manages the office and provides administrative support by assigning tasks to the support specialists, providing supervision and ensuring the needs of the department are met under the guidance of the Chair. Requires a broad and deep understanding of organizational operations, handling confidential and sensitive information such as hiring, faculty evaluations etc., as well as financial records and transactions.
**Essential Duties and Responsibilities**
+ Provides supervision and direction to the department support specialists and student workers to ensure the smooth operation of the department by assigning tasks, ensuring completion etc.
+ Planning for events and ensuring that all the necessary approvals and arrangements are made well in time and supervising the staff to make sure the events are adequately supported.
+ Prepares budgets, reconciles departmental financial accounts.
+ Prepares and submits financial transactions including vouchers, deposits, transfer of funds, departmental scholarships (Scholarship and account management) and reconciles Procard accounts.
+ Serves as a liaison between the business or academic unit and internal and external clients including donors, alumni, the Texas State Board of Public Accountancy and AACSB accreditation etc.
+ Assists department chair in gathering data for preparation of the reporting.
+ Addresses and resolves routine problems within the business or academic unit; follows internal and external policies and procedures during the resolution of problems.
+ Assists with student issues.
+ Coordinates and or supervises departmental functions relating to common exams, equipment (ordering supplies, computers, furniture and disposition of old equipment and furniture) and department reporting requirements (inventory of equipment, CASIM room assignments, and Contingency Plan updates).
+ Serves as department timekeeper, maintains employee records, prepares and submits faculty and GTA assignments as necessary, submits CCQs tracks annual appointments for the business or academic unit, submits pay submissions for overloads, etc.
+ Handles or supervises administrative functions relating to faculty and courses (i.e., ordering class supplies, syllabi maintenance, making test copies, book ordering and may assist with class scheduling, etc.)
+ Manages and maintains department chair’s calendars; organizes, schedules and meetings.
+ Creates routine correspondence (i.e., letters, emails, etc.); submits e-forms; maintains files and records.
+ Other duties as assigned.
**Minimum Qualifications**
+ High school diploma or equivalent with a minimum of four (4) years of experience providing secretarial or administrative support in increasingly demanding positions.
**Preferred Qualifications**
+ Bachelors’ degree in Communication, General Studies, or Business.
+ Experience with department budgets.
+ Experience processing basic financial transactions.
+ Experience with PeopleSoft.
+ Experience with University of Texas at Arlington policies and procedures.
**Knowledge, Skills and Abilities**
+ Ability to utilize Microsoft Office Suite.
+ Knowledge of standard office practices and procedures.
+ Ability to maintain accurate records.
+ Skilled in written and oral communication skills.
+ Ability to independently resolve routine and complex problems and make decisions.
+ Ability to draft, read and comprehend a variety of correspondence.
+ Ability to manage time effectively and prioritize work.
+ Skilled in preparing clear and concise reports, correspondence, and other written materials.

+ Skilled in researching, compiling, and summarizing a variety of informational, financial, and statistical data and materials.
+ Skilled in applying logical thinking to solve problems or accomplish tasks.
