Job Summary/Basic Function
About This Role:
The Administrative Coordinator for the Dishman Art Museum is responsible for various administrative, operational, and programmatic duties to support the museum’s mission. Reporting directly to the Museum Director, this position plays a critical role in maintaining museum records, assisting with exhibitions, organizing events, supervising student staff and volunteers, and ensuring the museum operates efficiently.
What You’ll Do – Position Responsibilities:
+ Collections Management and Administrative Operations:
+ Create and maintain digital and paper records for all objects in the collections management system, including acquisition records, condition/conservation reports, paper object files, and supplementary records.
+ Perform office duties related to day-to-day museum operations and special projects.
+ Receive, pack, and ship artwork.
+ Exhibition and Event Coordination:
+ Assist the Director in installing and labeling objects for presentation in the galleries.
+ Plan and publicize special events and programming for the university and the general public.
+ Attend exhibition opening receptions, fundraising events, and other special events as needed.
+ Visitor Engagement and Supervision:
+ Greet visitors and answer inquiries in person and on the phone, particularly from students.
+ Host and provide tours of exhibitions during public hours.
+ Supervise student staff, interns, and community volunteers.
+ Ensure the museum building and artwork remain secure during open hours, noting and reporting facility maintenance needs.
+ Support for the Museum Director:
+ Assist the Museum Director as needed, contributing to the overall success of the museum’s operations and programs.

Physical Requirements:
+ Able to lift 25 pounds and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.
Job Conditions:
+ Work is primarily performed within the Dishman Art Museum. The role involves physical tasks, occasional night, and weekend work, and maintaining security and professionalism in a public-facing environment.

Minimum Qualifications
+ High School Diploma or GED required
+ Minimum of 1 year of administrative experience
+ Proficiency in Microsoft Office Suite and experience with collections management software (e.g., FileMaker Pro or PastPerfect Museum Software)
+ Effective communication skills, including excellent oral and written abilities.
+ Demonstrated ability to work effectively in a team environment
+ Ability to remain observant, alert, and responsive in public-facing and security-sensitive situations
