Administrative Assistant II

Description

The Administrative Assistant II is responsible for supporting various administrative and operational functions within the department. Key duties include researching and compiling information for reports, preparing and monitoring budgets and grants, and maintaining compliance with regulatory standards. The role also involves coordinating human resources and payroll transactions, planning and organizing events, managing supplies and inventory, and serving as a liaison with other departments and external parties.

Responsibilities:

• Research, compile, and assemble information for reports; prepare statistical reports and categorize figures.

• Prepare and monitor budgets and grant allocations; maintain accruals and balanced accounts.

• Maintain departmental employee files, ensure regulatory compliance, and manage human resources and payroll transactions.

• Assist in planning forums, conferences, seminars, meetings, and visiting professorships; coordinate informational packets and transcribe meeting minutes.

• Investigate and resolve administrative or operational issues.

• Check materials for supervisor's attention, ensuring all relevant data and authorizations are included.

• Restock supplies, inventory merchandise, requisition goods, and collaborate with Purchasing for best pricing; track vendor contract expirations.

• Serve as a liaison with other departments and external parties to achieve objectives and complete assignments.

• Participate in grant applications, special projects, and survey preparations.

• Make travel arrangements, prepare reimbursements, and manage incoming mail.

• Screen and direct telephone calls, inquiries, and patient appointments; keep records of patient billing.

Perform other related duties as assigned.

Pay and Benefits

The pay range for this position is $20.00 - $21.00/hr.
