Job DescriptionSummary The purpose of this job is to provide administrative support by performing essential clerical and administrative functions for department management.
Essential Functions
1. Provide administrative support for the team and supervisors as the first point of contact for inquiries
2. Complete assigned clerical tasks to meet daily, weekly and monthly deadlines
3. Complete data entry to update and maintain databases; generate reports as needed
4. Plan and coordinate on- and off-site events for department and team
5. Arrange conference, meeting and travel reservations for managers
6. Prepare expense reports
7. Collaborate with supervisors to resolve administrative challenges and improve processes
8. Mentor and support members of administrative team as needed
9. Answer telephones, greet visitors, provide information, take messages, or transfer calls/visitors to appropriate individuals
10. Compose and distribute meeting notes, routine correspondence and reports
11. Operate office equipment and arrange for repairs when equipment malfunctions (e.g., fax machines, copiers, and phone systems)
12. Model behaviors that support the company’s common purpose; ensure guests and team members are supported at the highest level
13. Ensure all activities are in compliance with rules, regulations, policies, and procedures
14. Complete other duties as assigned
Qualifications
• High school diploma or equivalent certificate required; associate or bachelor’s degree preferred
• Minimum one year’s experience working in an office setting required; three years’ experience preferred
