The Food and Beverage Administrative Assistant is responsible for providing full service administrative support to the Vice President, Directors, and Executive Chef. The Administrative Assistant will provide support to ensure efficient operation to the office, be responsible for confidential material, be familiar with food and beverage practices and procedures, and must be able to effectively communicate.

Specific Responsibilities and Duties
Perform general clerical and administrative office duties, such as recording accurate meeting minutes, ordering supplies, generating reports, maintaining office cleanliness, and filing for department.Providing real-time scheduling support by booking appointments and preventing conflicts for Vice President of F&B, Directors and Executive Chef.Set up and coordination of meetings, presentations, reservations and interviews which may include room set up of audio-visual equipment, conference lines and ordering refreshments.Heavy coordination with internal departments involving projects to include but not limited to; menus, signage, photoshoots, events, social media posts.Provide warm and genuine service to our team members and guests, while delivering prompt communication and follow up.Department communication.Review master department schedule for supervisors and above.Manage all occurrences for the beverage department, this includes but is not limited to communicating with the team member regarding their occurrence balance, updating their team member record, updating virtual roster, and entering PTO / SSL in Kronos.May act as focal point for vendors, suppliers and community organizations seeking to and currently doing business with company. Screening department phones lines and routing to appropriate personnel.Submit and reconcile expense reports.Assist with the responsibility of managing and efficient operation of executive office equipment to include but not limited to phones, copiers, smart phones, and personal computers.Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies for the Food and Beverage Departments.Maintain computer and manual filing systems.Use discretion when handling all tasks.Protects Operations by keeping information confidential.Other duties as assigned. QualificationsJob Requirements (skills, knowledge, and abilities)
Knowledge of Casino and/or Food Service operations.Outstanding guest service skills in person and over the phone.Ability to manage subordinate team members and interact and develop outstanding working relationships with members of the Casino departments / restaurant outlets and the Executive Team.Must be able to use a 10-key adding machine, fax, scanner and be proficient with Microsoft Office and department specific programs.Ability to analyze and interpret departmental needs and resultsEducational Requirements
High School Diploma or General Education Degree required.Three (3) to five (5) years of experience in Entertainmeent or Food Service industry.Must have at least one (1) to two (2) years of supervisory experience. Must be able to obtain and maintain the necessary license as mandated by the Maryland Lottery and Gaming Control Agency.Physical Requirements
Ability to perform assigned duties under frequent time pressures in an interruptive environment.Ability to stand, sit or walk for long periods of time. Ability to bend, stoop and reach as needed.Working Conditions
24/7 high energy casino with over 300,000 sq. ft of gaming and entertainment space and approximately 3000 employees.Exposed to alcohol, cigarette and cigar smoke, bright lights, and loud noises.You will work in an environment where smoking is allowed.Willingness and ability to be flexible with work schedule.
