Administrative Assistant II- Facilities
Description/Job Summary Provide administrative support to the Facilities Dept. Track and monitor purchases. Entering requisitions into Banner. Responsibilities/Duties + Organize and track Facilities information, data, time and resources + Provide quality customer service, information and assistance to employees, students and visitors + Manages reception area and conference rooms + Maintains office equipment and common area supplies + Enter requisitions in Banner. + Track and monitor all requisitions. + Composes letters and memos for review and approval + Greet visitors, answer phones, and responds to inquiries. + Assumes ownership of service issues and works within scope of authority and appropriate guidelines and resources to meet + needs and resolve problems. + Works to develop and maintain positive working relationships with co-workers, customers and students + Prepare agendas and take minutes for meetings + Seek out customer input to better understand their needs and develops ideas for how to meet those needs. + Promptly responds to request and inquiries with accuracy and courtesy. + Works to develop and maintain positive working relationships with co-workers, customers and students. + Plan events and activities in advance to ensure that all assignments are completed in a timely and quality manner + Contact vendors for quotes and assist the facilities department with tracking inquiries and requests. + Other duties as assign. Required Qualifications + AA Degree in a related field + At least 5 years work experience in a Facilities Department + At least 5 years working in a high pace and high demand department/organization. + Proficient in Word, Excel, and PowerPoint Preferred Qualifications + Bachelor's Degree in a related field + At least 10 years work experience in an + At least 10 years working in a high pace and high demand department/organization.
